Job Summary

As a CBRE Mailroom Operator, you will support the day to day management of mailroom operations within the Client's premises.

The role ensures timely, accurate, and confidential handling of all incoming and outgoing mail and courier items, in accordance with government security, data protection, and operational standards.

What You'll Do 

Mailroom Operations
  • Receive, screen, sort, and distribute incoming mail, parcels, and courier items accurately and promptly.
  • Process outgoing mail and courier items, ensuring correct labelling, documentation, and handover.
  • Coordinate with approved courier and service providers for daily operations and issue resolution.
  • Operate and maintain mailroom equipment (e.g. scanners, franking machines) in accordance with instructions.
  • Assist with other facilities or administrative support duties as assigned.

Documentation & Records Management
  • Maintain accurate records and tracking logs for incoming and outgoing mail, including delivery acknowledgements where required.
  • Update operational logs, reports, and mailroom records in accordance with established procedures.
  • Support compliance checks, audits, and reporting requirements.

Stakeholder & Customer Support
  • Respond professionally to internal enquiries from Client team. 
  • Support ad hoc requests related to mail services, in line with agreed service levels.

Security, Compliance & Safety
  • Adhere strictly to data protection, confidentiality, and government security requirements.
  • Ensure the mailroom is kept orderly, secure, and compliant with workplace safety standards.
  • Escalate any incidents, discrepancies, or security concerns promptly to the respective personnel.

What You'll Need

  • Minimum Secondary education.
  • Prior experience in mailroom operations, logistics, office support, or facilities management is an advantage.
  • Experience working in a government, statutory board, or corporate office environment is preferred.
  • Strong attention to detail and accuracy.
  • Good organisational and time management skills.
  • Basic computer literacy (e.g. email, simple tracking systems).
  • Professional communication skills and service oriented mindset.
  • High level of integrity and discretion when handling confidential information.
  • Able to perform manual tasks such as standing for prolonged periods and handling parcels within occupational safety limits.
